Terms, invoicing and support

How We Work.

Enterprise planning software is a decision you live with for years, and the cost of being wrong is not the license fee — it’s the seasons you spend recovering. So here is how we work, in plain terms, before you ask us for anything.

We prove it before you buy it

Before you spend a dollar, we build it with your data — your hierarchy, your history, your numbers — and show you what it does. Not a demo with sample data, not a slide deck. You decide the PoC scope — we build it, at our cost. You judge the fit before you commit to it.

Our price is a number you can budget

You buy the peak number of simultaneous users you need. We don’t meter, and we don’t charge you for exceeding it. No per-query fees, no consumption credits, no token counters, no bill that moves because your planners had a busy week. You know in January what you will pay in December.

You can start one season at a time

Two quarters to begin, then quarter to quarter. Thirty days’ notice before the next quarter and you’re done. We’d rather earn the next quarter than trap you in the next three years — and if you want a longer term for the discount, that’s your choice to make, not our condition of entry.

We do not ask you to prepay

We invoice thirty days before a service period begins, Net 30. You never pay for time you haven’t had, and we never hold your money for work we haven’t done.

Since 1992, and no investors waiting for an exit

Same ownership, no venture capital, never acquired, never restructured. This means there is no board pressure, no “fund” timeline, and no acquirer deciding one morning that your planning solution is not strategic to them. We have been through the Y2K panic, the dot-com bust, 2008 and 2020 with the same people answering the phone — and our current release, 3.61, is running at customers today.

That’s not a claim about the past. New releases are included in what you already pay — no upgrade fee, no version you get stranded on, no migration project to get current. We intend to be here for your next system selection, and the one after that.

We want you to be self-reliant

Most of what you’ll want to change, you should be able to change yourself: formulas, hierarchies, views, reports. We build the system so your team can run it without calling us, and we train them to. That costs us services revenue, and we know it. We know the Total Cost of Owning planning software — the part that never shows up on a license line — is where retailers get hurt. So when something needs to change, tell us: no change order, no scoping exercise, no six-week estimate. A customer who doesn’t need us every week is a customer who is still with us in five years.

Every number traces back to the formula that produced it

Nothing in Buyer’s Toolbox is a black box. Click any figure and you can see the calculation behind it. When your planner and your merchant disagree about a number, the software settles it instead of joining the argument.

Your data is yours, in a database you can read

Your plans live in a standard SQL database with a documented schema. Point your own BI tool at it. Query it directly. Take it with you if you ever leave. We don’t hold your data hostage as a retention strategy.

Integration to your merchandising system, ERP or BI

Mi9, Horizon, Celerant and ENT-100 each built their interface to Buyer’s Toolbox at their own expense. That is the strongest thing we can tell you about how hard we are to integrate with. We run live interfaces with NetSuite, NCR Counterpoint, Retail Pro, SAP, Blue Yonder (JDA), Epicor Eagle, KWI, Microsoft Dynamics (D365, Navision and AX), VRP, Apparel21 and others — and we’ll work with your IT team or your vendor’s on whatever you run.

When you need help, a real person answers

You reach the people who build and support the software, not a ticket queue and not a first-line script. Over 95% of issues are resolved on the first call. Severity 1 issues get a fix, workaround or patch within twenty-four hours of reproduction. Severity 2 gets a response within four business hours. Support is personal, yet global in scope. No support issue is ever ignored.

You judge the fit before you commit to it.
